A professional installation company drives the planning process. It is not the buyer’s responsibility to figure out what information the installer needs. Here is what the pre-installation phase should include on any properly run project.
A site survey that covers the full scope of installation variables. This means floor condition and slab thickness, clear height measured at the installation zone, column spacing and its effect on rack bay sizing, existing sprinkler head placement and required clearance above the top of storage, dock door positioning relative to the proposed rack layout, and utility locations that affect staging and installation sequencing. A site survey that skips any of these areas is incomplete, and the gaps become project problems.
A layout plan produced from the survey. The site survey produces a layout that accounts for the variables discovered, not a generic layout applied to an unmeasured space. The layout should show rack configuration, aisle widths, column clearances, and dock access before any equipment is ordered. Changes to the layout after equipment is ordered cost money.
Confirmed equipment lead times before the schedule is built. The installation schedule is only valid if it is built around confirmed delivery dates from the manufacturer. Any installer who presents a completion date before rack lead times are verified is working from an assumption, and assumptions are where schedule overruns start.
Permit requirements researched and applied for before installation begins. The permit application should be submitted as early as possible in the project because permit timelines run in parallel with other project phases. Any installer who treats permits as an afterthought is introducing a timeline variable they cannot control and have not planned around.
A scoped contract that identifies who is responsible for every phase of the project. Floor prep, permitting fees, equipment procurement, load capacity labeling, OSHA compliance verification, and final inspection should each have a named owner in the contract. Scope gaps discovered mid-project become disputes. Scope gaps documented in the contract before the job starts become line items with clear ownership.
